Fantastic opportunity for a seasoned events professional with experience in working on large-scale events across internal and outdoor spaces. Join Imperial College London's Public Engagement Team to deliver a number of public events, including the Great Exhibition Road Festival.

Job Description

What you will be doing

You will be supporting the Festival Producer with operations, logistics, performance programming and health and safety to deliver our flagship event, The Great Exhibition Road Festival as well as other events and installations across our South Kensington and White City campuses. Part of this role will also involve overseeing multiple projects for example a demo kitchen, silent disco and site design and layout.

What we are looking for

  • Extensive experience in event production management for small and large-scale events across indoor and outdoor spaces
  • Excellent written and verbal communication skills with the ability to provide clear briefings to a range of stakeholders
  • Strong team player who works well independently with the ability to manage workload to meet deadlines
  • Extensive knowledge of event management principles, event safety, site management, event wayfinding and risk assessments
  • Strong multi-tasker able to work across multiple projects in a fast-paced environment.
  • Experience of working with artists and performers to programme different performance spaces, preferably with knowledge of world music.
  • Experience of working with multiple contractors and internal departments
  • Highly organised with excellent attention to detail
  • Excellent administrative skills with proven experience in managing meetings, agenda and minutes
  • Interest in STEM is beneficial but not essential

Further Information

This is a full time, 3-year fixed term contract based at our South Kensington Campus. The post holder must be available to work 2-9 June 2025 and 1-8 June 2026 and the preceding three weeks before these dates.

Interviews will be held on 4, 8, 9 and 11 October.

Work closely with the Festival Producer on production, operations and logistics:

  • Work across internal and external stakeholders
  • Coordinate small bespoke event projects, for example art installations or live demos
  • Produce and maintain production schedule
  • Coordinate furniture and equipment requirements
  • Support the Festival Producer to implement the signage and wayfinding plan

Health and Safety

  • Support areas of health and safety under the direction of the Festival Producer

Contractor Management

  • Source contractors and suppliers
  • Ensure contractors meet contractual and H&S obligations

Administration

  • Take ownership of festival planning meetings, ensuring agendas and minutes are circulated on time, and actions are followed up

  • Update budget, raise POs and keep track of festival spend
  • Prepare presentations to update stakeholders as required

Other
Undertaking tasks as directed by the Festival
