Job Description

The Trust is looking for an enthusiastic and committed individual to support the Marketing and Comms Manager in delivering administrative and communication functions for the organisation, providing a point of contact for in-person visitors and online/e-mail enquiries.

The role is highly visible requiring excellent communication skills and the ability to effectively represent the organisation while administering the necessary workplace functions.

We are also launching a shop in our community space in partnership with local artists and makers to showcase the creative talent of Ouseburn and engage our visitors in this story and you will play a key role in supporting this and our growing co-working offer too.

Rate of pay

£23,000 pro rata (0.75 FTE) (Plus cost of living rise on 1st April)

28 hours per week spread over 5 days including Saturday and Sunday

Job Requirements

Experience:

  • Office administration, retail/customer-facing roles
  • Accurate record-keeping and reporting
  • Minute-taking for meetings
  • Experience in small teams/organizations
  • (Desirable) Experience in mission-driven organisations, project work, events, CRM (e.g., Beacon) and CMS (e.g., WordPress)

Knowledge:

  • Developing effective digital office/admin systems, data management
  • Knowledge of voluntary/community sector
  • Understanding of health and safety, barriers in not-for-profit services, GDPR
  • (Desirable) Familiarity with Ouseburn Valley

Skills:

  • Excellent communication (written and verbal)
  • Minute-taking and report production
  • Adaptable and open to change
  • Strong organization and time management
  • IT literacy (Office 365), numeracy, and analytical skills
  • Team collaboration and support for staff/volunteers

Job Responsibilities

  • Ensure the smooth operation of 51 Lime Street, welcoming visitors for guided walks and tours, and promoting the new shop and co-working space.
  • Build positive relationships with customers and suppliers, assist with managing bookings, and coordinate the purchase of supplies.
  • Oversee office procedures, ensuring staff adherence, and manage IT equipment and contracts, including car parking.
  • Support the CEO in handling contracts with suppliers, service providers, and building maintenance.
  • Maintain CRM records, including memberships, and schedule Trust meetings and events.
  • Assist with planning and promoting Trust-managed and local events, raising awareness of the Ouseburn Trust's mission.
  • Work within all policies, including Health & Safety and Equal Opportunities.
  • Perform other duties as required by the CEO or Marketing and Communications Manager.
