We’re seeking a friendly, committed team member with a passion for the arts to join Cast, Doncaster’s flagship venue. You’ll keep our organisation running smoothly through day-to-day admin and support for our Officers and Directors in a creative, welcoming environment.

Job Description

As Administrator at Cast, you will play a central role in the smooth running of our busy, creative venue. Working closely with the Officers, Directors, and all departments, you will ensure the organisation's day-to-day operations are well organised and efficient.

You will be responsible for managing venue hire, from first enquiry through to booking, contract, and invoice, arranging catering, equipment, and viewings as needed. As the first point of contact for public enquiries, you will respond promptly and professionally by phone, email, and in person. You will maintain accurate records and archives in both digital and physical formats, manage office supplies, and ensure administrative systems remain up to date.

Your role will also include supporting meetings by taking notes, and organising diaries, travel, and accommodation for senior staff. You will assist with financial processes such as drafting show settlements, monitoring budgets, banking receipts, and issuing invoices.

In the artistic and programme areas, you will help to schedule rehearsals, auditions, and events, prepare and track contracts, keep the organisational calendar accurate, and source rehearsal spaces. You will also play an active role in delivering special events such as VIP nights, pre-show receptions, and meet-and-greets. Liaising with artists, agents, suppliers, and partners will be a regular part of your work, ensuring clear communication and smooth delivery of projects.

This is a varied and dynamic role where priorities can change throughout the year. Job Requirements

Essential

  • Strong admin skills with excellent attention to detail

  • Clear written and verbal communication

  • Confident handling public enquiries in person, phone, and email

  • Ability to manage multiple tasks and meet deadlines

  • Proficient in Microsoft Office and digital filing systems

  • Good numeracy for basic finance tasks

  • Strong organisation, diary, and scheduling skills

  • Works well independently and in a team

  • Flexible and adaptable to changing priorities

  • Commitment to equality, diversity, and inclusion

Desirable

  • Experience in arts, culture, or events admin

  • Knowledge of venue hire and contract management

  • Understanding of budgeting and finance tracking

  • Experience with partners, suppliers, and artists

  • Familiarity with Doncaster's cultural sector

Job Responsibilities

  • Support the smooth running of Cast's administration, assisting Officers, Directors, and all departments

  • Manage venue hire: schedule bookings, arrange viewings, catering and equipment, issue contracts and invoices
