We’re looking for a skilled and motivated Administrator to work with the Everyone Here team. You’ll support the smooth and efficient delivery of the programme. You’ll provide high-quality admin across financial processes, team coordination, communications, reporting, and events.

Job Description

Fixed-Term Contract | 2 days/week (0.4 FTE) | £12,800 per annum (£32,000 pro rata)
Contract Duration: 12 months (June 2025 - May 2026)
Location: West Cumbria (occasional remote working)

We're looking for a skilled and motivated Administrator to join our small but ambitious team.

Working closely with the General Manager, Artistic Director and wider team, you'll support the smooth and efficient delivery of the programme. You'll provide high-quality admin across financial processes, team coordination, communications, reporting, and events.

This role is ideal for someone who is values-led, collaborative and proactive - and who takes real satisfaction in good systems, clear information, and helping things run well.

Job Requirements

You don't need to tick every box - we encourage applications from people with a wide range of backgrounds and experiences.

You might be the right fit if:

  • You have strong administrative experience, ideally within a creative, community or not-for-profit setting
  • You're confident using online systems such as Office365, Xero, Zoom and Mailchimp
  • You are highly organised, reliable and proactive
  • You're an excellent communicator - both in writing and in person
  • You care about inclusive, community-led arts and culture

Desirable (but not essential):

  • Experience working in West Cumbria
  • Familiarity with Arts Council reporting or funding environments
  • Lived experience of West Cumbria (Allerdale and Copeland area), being working class, disability or experiencing barriers to access.

Job Responsibilities

General Admin & Coordination

  • Maintain and update project files, contact lists and records
  • Organise internal team meetings and take minutes
  • Support with booking travel, accommodation and venues for events

Financial Administration

  • Process and log invoices, expense claims and payments using Xero
  • Support payroll and freelance contracting processes
  • Assist with basic budget tracking and reporting

Comms & Documentation

  • Assist in managing email inboxes and online systems (e.g. Office365, Mailchimp, Xero)
  • Support website and newsletter updates
  • Format reports and presentations for stakeholders and community partners

Governance & Evaluation

  • Provide administrative support to Jury for Joy and Consortium meetings (e.g. invitations, access needs, catering)
  • Collate feedback and survey data for reporting purposes
  • Ensure good filing and archiving systems are in place
