The Music & Heritage team at Britten Pears Arts delivers all its performance and creative activities - from the Aldeburgh Festival to our Community and Creative Health Programme.

The main purpose of the Administrator's role is to support the Director, Music & Heritage and members of the Music & Heritage Leadership team. This will include diary management, administration of meetings and other established processes, as well as direct project administration support when needed, especially for the Creative Health team. Given the nature of the Director's role and the teams' remit, the post-holder will be immersed in all aspects of our music & heritage work.

We're looking for a forward-thinking administrator who thrives in a creative environment. You will need strong admin and IT skills, and whilst you do not need to be a music specialist, it will be helpful if you have a love for music and the arts. This role could also be an interesting sideways step into arts administration.

Ideally, we'd like the post holder to start in early April to ensure a good handover period with the Office Manager. The role is primarily office based - at Snape - with some limited scope for hybrid working.

The role is Part time (0.8), working 28 hours per week.

Job Requirements

  • Experience gained in a similar role or through a volunteer role. Training will be given but a good understanding of supportive administration is essential, ideally to have included diary management and co-ordination for another person.
  • Excellent IT skills - proficient with Microsoft, we work on office365 - including Sharepoint and TEAMS.
  • Excellent organisational skills - can prioritise multiple tasks appropriately
  • Has a high standard of verbal & written English
  • Good interpersonal skills including the ability to communicate with a wide range of people
  • Excellent attention to detail
  • Ability to work under pressure and adhere to strict deadlines, and coral others to deliver to deadline
  • Ability to work independently to manage time and prioritise work
  • Able to learn and apply new programmes quickly and easily as required
  • Problem-solving skills
  • High degree of integrity including the ability to maintain confidentiality as necessary
  • Full clean driving licence

Job Responsibilities

  • Direct support to the Director, Music & Heritage:
  • Diary Management and administrative support for the Head of Artist Development and Artistic Administration and other members of the Music & Heritage Leadership team
  • Keep policies and procedures tracked and updated
  • Support music programme teams with compliance matters
  • Lead on the scheduling of Workshop Assistants and recruitment of new Workshops Assistants together with the Programme Manager
  • Provide Artifax support to Music & Heritage colleagues
  • Oversee a number of systems that apply to both the Hoffmann and the Concert Hall building offices
  • Pro-actively work on improving systems that relate to both office buildings, communicating well with members of other teams (Marketing & Comms, Development, Finance, Leadership Team)
  • Working on transport systems & schedules for the Aldeburgh Festival together with the Programmes Assistant in the Artistic Administration team
  • Provide hands-on support to the wider Music & Heritage team
