Job Summary

To provide administrative support to support the ongoing management of our building and organisation.

Job Description

The role
Develop, operate and maintain administrative systems to organisational functions including:
Building: managing office supplies and oversee the upkeep and testing for building-related certification processes
Finance: managing petty cash, collating purchase invoices for authorisation and chasing outstanding invoices, processing staff timesheets and hours for payroll;
Human Resources: provide HR administration support as central contact for HR workflow i.e., chasing references, DBS certificates, flagging probation period and supervision deadlines, tracking staff training as well keeping up to date staff and freelance records.
Corporate administration: upkeep of the statutory information required by Companies House and Charity Commission and supporting the management board through taking minutes at meetings; circulating agendas, minutes and meeting papers; and facilitating other communication with the board as necessary

General responsibilities
Liaise closely with Soft Touch co-directors and staff and respond flexibly to their requirements regarding project, programme and back office administration.
Liaise as necessary with outside organisations or individuals as requested by the company.
Provide office cover to include answering phone calls, responding to general enquiries and assisting with mail outs.
Attend team and company meetings as and when required.
Work to the company's safeguarding, equality and diversity, health and safety, data protection and other policies.
Undertake any other work as may be reasonably expected by the company or management board.

Job Requirements

The post is half time (20.00 hours per week) and is based at Soft Touch's premises at 50 New Walk, Leicester LE1 6TF. We are looking for these working hours to be worked Monday-Friday between 9am and 6pm. Start and finish times are flexible.
