Job Summary

The Artistic Programme Administrator provides administrative support to the Artistic Programmes from the beginning to the end of the process for visiting companies and artists. The role holds key internal relationships with marketing and production departments.

Job Description

MAIN DUTIES

  • Drafting, and sending contracts to visiting companies, agents, artists, producers, and practitioners across Artistic Programmes department.
  • Administrating technical recharges, schedules, and riders of visiting companies.
  • Maintain accurate records of programming schedules, contracts, and artist agreements.
  • Liaise with creative teams, production staff, and external partners to ensure smooth programme delivery.
  • Update internal event management systems with event details, ensuring all teams have up-to-date information.
  • Maintain accurate filing systems (digital and physical) for programme records.
  • Prepare reports, and meeting minutes, as required.
  • Support funding and grant applications by gathering and inputting necessary information.
  • Collating job applications and responses to freelance or funding opportunities, using screening criteria to shortlist when necessary.
  • Support with the onboarding of new artistic programme hires.
  • Facilitating the administration of artist development events.

The actual salary for the role is £9,100 per year, which is the equivalent to £22,750 full-time.

Job Requirements

ESSENTIAL

  • Strong administrative and organisational skills.
  • Excellent communication and interpersonal skills with diverse groups of people.
  • Excellent standard of literacy skills.
  • Ability to work with focus and precision, demonstrating strong attention to detail.
  • Ability to manage multiple projects and meet deadlines.
  • Confident using computers with proficiency in Microsoft Office (Word, Excel, Outlook) and database systems.
  • Hard working, reliable and conscientious.
  • A passion for the arts and culture.

DESIRABLE

  • Two years (or more) experience in an administrative role.
  • Knowledge of theatre programming and production processes.
  • Experience using ticketing and CRM systems (e.g. Spektrix).
  • Experience in an arts, theatre, or cultural environment.
