We are looking for an organised and enthusiastic Arts, Heritage & Learning Assistant who can help with the day-to-day running of our public programme of events.

Salary: £20,833 (£25,000 p.a FTE)

Type: 10 month, fixed-term contract

Location: West Horsley Place, KT24 6AN

Reporting to: Arts, Heritage & Learning Coordinator

Hours: Full time. Monday - Friday with weekend and evening work as required

Our Arts, Heritage & Learning team runs a vibrant programme of public engagement activities, open days, house and estate tours, courses and workshops, school holiday family fun, performance, theatre and cultural talks. We are looking for a new Arts, Heritage & Learning Assistant to support this team.

Overall role:

As part of our A Quiet Revolution project, supported by The National Lottery Heritage Fund, we are looking for an organised and enthusiastic Arts, Heritage & Learning Assistant who can help with the day-to-day running of the Arts, Heritage & Learning programme. The role will help with organising events and general team administration (co-ordinating and recording meetings, responding to emails and phone calls, filing, liaising with volunteers, third party facilitators and tutors). Your immediate team comprises the Arts, Heritage and Learning Coordinator and the Arts, Heritage and Learning Manager, though your role will have contact across the wider WHP team.

You will have excellent organisational skills, be confident using MS Office (including Excel) and other tools to manage information, good interpersonal skills, good attention to detail and a positive, collaborative approach to team working.

Due to the Trust's visitor events, this post will require occasional, planned evening or weekend hours with time off in lieu (TOIL) given as a result. This would be planned and pre-agreed in writing.

Job Requirements

Skills

  • Good written and verbal communication skills
  • Experience of delivering administration and working within a team, providing support
  • Experience of using software involved in administration including Word, PowerPoint, Excel.
  • Experience of supporting financial administration is desirable
  • Initiative or creativity to resolve day-to-day-problems
  • Well organised, able to meet deadlines and prioritise work
  • Keen attention to detail
  • Enhanced DBS check required (can be arranged post-appointment)

Job Responsibilities

Key responsibilities include:

  • Building effective and positive relationships with WHP staff, Trustees, project partners, volunteers and consultants involved in the Quiet Revolution project and wider Arts, Heritage and Learning programme.
  • Providing administrative support to the Arts, Heritage & Learning team.
  • Supporting event organisation and delivery (researching and booking speakers/workshop leaders, organising catering, arranging travel, AV set-up, meeting visitors to the site, sourcing and preparing materials, event set up, visitor experience checks).
  • Contribute activity ideas and support the development of activities and events to effectively engage identified audiences and provide high quality experiences for visitors.
  • Acting as a first point of contact for Arts, Heritage & Learning team enquiries.
  • Support administration related to the WHP volunteer community.
  • Working with WHP colleagues to create marketing content for Arts, Heritage & Learning activities.
