Permanent full-time role based in Notting Hill

The Artists' Collecting Society (ACS) is a London-based not-for-profit Community Interest Company dedicated to the administration of intellectual property rights on behalf of artists and artists' estates.

As Assistant Artists Rights Administrator, you will work as part of ACS's small and dynamic team, based in Notting Hill (currently a hybrid working system), to administer our members' Artist's Resale Right (ARR) and copyright, register new members and promote ACS, our services, our member artists and our prizes. You will also represent ACS at events.
The role is suited to an individual with both strong organisational and communication skills. You must be able to juggle a number of administrative tasks in a fast-paced environment, and you will always aim for the highest standards of service.

You must have a sharp attention to detail and have excellent written and verbal skills, necessary to administer data, attract new artists, forge and maintain relationships with galleries and arts institutions. You will also be a highly enthusiastic individual who can generate creative ideas both individually and as part of a team to engage new artists and existing members. In addition, you will need to be proficient with IT and be comfortable managing routine administrative tasks, including working on spreadsheets in Excel, fielding copyright requests and inputting information on a variety of software, including a custom database.

Experience in handling sensitive information with discretion will be valued, as will a consistently professional approach.

Job Requirements

Essential
BA required, or preferably MA, ideally in art history or a similar humanities-related subject

Confident and diplomatic communicator

Comfortable working with numbers and data entry

Excellent written, verbal communication and interpersonal skills

Excellent attention to detail

Experience managing your own time and meeting
deadlines

Technical proficiency and computer literacy

Experience using databases and spreadsheet software,
such as Excel, including filtering and sorting data

Administrative experience (filing, preparing and editing letters, reports, memos, and emails, taking minutes at meetings)

Desirable, but not essential

Knowledge of the art market and UK copyright law

Demonstrable experience upholding artist relations, developing relevant collaborations and dealing with artist enquiries

Experience of producing inspiring and engaging presentations and literature for a range of stakeholders

Experience of using a custom-built database

Job Responsibilities

Key Responsibilities Include:

Proactively contribute to the general running of the company, carrying out ad-hoc duties as requested and providing support to the Managing Director and Chairman as required

Completing various data entry tasks, including cataloguing sales information and contact details on a custom database system, tracking correspondence, and transactional data

Liaising directly with art market professionals (auction houses, galleries and dealers etc.) to ensure relevant sales are processed efficiently, via email, post and over the phone

Growing and maximising membership in line with the company's overall objectives and plans, including conducting artist research and responding to copyright queries

Acting as the main point of contact for email and telephone enquiries regarding sales eligibility and submissions
