We are looking for an Assistant Event Manager to join our Producing & Event Management team on a full-time, two years fixed term basis. Salary: £32,000 per year

Job Description

The Event Management team work on Events across all artforms and Public Programming activity and are scheduled around 3 months in advance. The team consists of Producers, artform specialist Event Managers (e.g. Classical Music) and multi-artform Event Managers, Assistant Event Managers and Producing Assistants; who all work alongside the wider Artistic Programming team.

The Assistant Event Manager role is responsible for the advancing, coordination, delivery and reconciliation of allocated events across all artforms in mostly non-auditorium spaces, such as the Clore Ballroom, Riverside Terrace, QEH Foyer, Pavilions and function rooms alongside smaller-scale auditorium events. The role also provides support to Event Managers on larger-scale auditorium events.

No one day as an Assistant Event Manager is the same, and we're proud to work with some of the biggest names in the arts, from our renowned resident orchestras to producing the internationally acclaimed London Literature Festival and the longest running curator-led festival in the world, Meltdown Festival. The Event Management team is a welcoming group full of industry leading professionals creating amazing experiences in a stunning central London location by the River Thames.

The majority of Southbank Centre Artistic Events take place Tuesday to Sunday and the post-holder should expect to work regular evenings and on approximately three weekends out of five.

We care about our artists, our audiences and local residents with our location in the heart of Lambeth and we have a considerable programme of events available free at the point of entry bringing people together, and bringing unbeatable cultural experiences to underrepresented audiences.

Job Requirements

  • Demonstrable experience of coordinating live arts events or arts projects involving artists, participants or members of the public with a public facing outcome
  • A keen interest in and knowledge of one or more of the Music and Performance artforms Southbank Centre presents (Contemporary Music, Performance & Dance, Literature, Festival & Public Programming)
  • Demonstrable communication and negotiation skills (both verbal and written), with the ability to build and maintain good working relationships with a wide range of people, both internally and externally at all levels
  • Has demonstrable administration skills, with a methodical approach and attention to detail.
  • Has experience of working with organisational financial processes and updating expenditure on budget spreadsheets, raising purchase orders and processing invoices etc.
  • Has experience of working in an arts or media organisation.
  • Has effective time management skills with the ability to multitask, and meet deadlines

Job Responsibilities

  • To provide efficient and proactive administrative and event delivery; advancing and delivering a range of diverse and dynamic artistic events, in conjunction with the Producing and Programming teams to successfully deliver the Southbank Centre's (SC) artistic programme to an international standard.
  • Work with the Programmers, Producers and Event Managers to provide administrative, advancing and delivery support for the Event Management team on allocated events and festivals to enable the successful delivery of a diverse and dynamic event and festival programme.
  • To provide a consistent event management and delivery lead for one or more strands of Public Programming year round work, Open Doors.
  • To communicate the operational needs of assigned events to all necessary and related internal departments through the effective administration of Artifax, Southbank Centre's venue management system, and agreed operational procedures.
