The Client Facilities & Studio Coordinator role sits within Bow Arts' Live & Work Space department. You will manage both the commercial and creative facilities at one of the Trust's key sites, Royal Albert Wharf (RAW), located in Newham's Docklands. RAW is owned by Notting Hill Genesis (NHG), an important and strategic partner for the Trust. On behalf of NHG, Bow Arts manages all commercial facilities and tenants at the site. This includes rent collection, service charge billing, maintenance contracts, and client meetings. You will also manage the letting and facilities of 36 creative workspaces leased by Bow Arts. You will liaise with and be supported by other departments, particularly the Partnerships and Places team. Key responsibilities include: Coordinating day-to-day facilities management, including repairs, maintenance, cleaning, security, health & safety, and supplies Managing third-party contractors and ensuring high-quality service delivery Ensuring compliance with health, safety, and environmental regulations Acting as the main point of contact for tenants and handling general enquiries Managing the commercial service charge: statements, billing, arrears, and debt collection Supporting move-ins, relocations, and refurbishments Preparing regular financial reports covering rents, service charges, and arrears Reporting on performance, budgets, H&S, tenant satisfaction, and issues Supporting delivery of placemaking initiatives for the client Coordinating licensing and management of creative workspace facilities Overseeing marketing of the studios Supporting delivery of Open Studios This is a varied role for someone with facilities management experience, a proactive approach, and excellent communication skills. Manage commercial and creative facilities at Royal Albert Wharf, including day-to-day operations, repairs, maintenance, and tenant relations. Oversee third-party contractors, health & safety compliance, and service standards. Manage service charges, arrears, and prepare regular financial and performance reports. Act as the main point of contact for tenants and support refurbishments, relocations, and client meetings. Coordinate licensing and management of 36 creative workspaces and oversee their marketing. Support delivery of Open Studios and placemaking initiatives. Liaise with internal teams, especially the Partnerships and Places department, to ensure smooth operation across all areas of responsibility. Experience in facilities management and service charge is essential. Must be methodical, accurate, and confident with numbers and communication. Strong problem-solving skills, initiative, and the ability to multitask and prioritise are key. Must be proficient in MS Office (especially Excel) and accounting software such as Xero. Experience working with diverse clients and stakeholders is required. Knowledge of health and safety in estate management is important.
