Dispatch and Auction Administrator
Role Overview
We are looking for a motivated and detail-oriented Dispatch and Auction Administrator to oversee the client order fulfilment process, ensuring all auction items are handled, packed, and shipped with the highest level of care and efficiency.
This role involves coordinating with Auction Heads, assisting with customer inquiries, and handling pre-auction and post-auction administration to ensure a smooth and efficient auction process.
The ideal candidate will have strong organisational skills, attention to detail, and a commitment to delivering an exceptional client experience. The role will involve close collaboration with our client services and operations team to ensure smooth dispatch operations.
Desirable Skills & Experience
While not essential, the following skills and experiences would be highly beneficial:
- Customer service experience in a client-facing role.
- Familiarity with DHL or similar courier services, including their shipping processes.
- Previous experience in an auction house, logistics, or dispatch-related role (e.g., porter, operations assistant).
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Any experience directly applicable to auction operations will also be considered a plus.

- Starting salary of £25,000 - £28,000, commensurate with experience.
Key Responsibilities
- Enter auction lots into the system, ensuring accurate data entry and inventory management.
- Oversee bidder registration and client inquiries, ensuring seamless participation in auctions.
- Oversee the administration and shipping of client purchases, ensuring accuracy and efficiency.
- Prepare international and domestic shipments, handling all necessary paperwork for import and export and other documentation (DHL, Royal Mail, FedEx, Parcelforce, Ferrari etc.).
- Carefully handle, package, and dispatch valuable numismatic items to ensure their safe arrival.
- Liaise directly with couriers to coordinate shipments, track deliveries, and resolve any issues.
- Assist clients with shipping-related inquiries, maintaining excellent customer service.
- Ensure compliance with shipping regulations, customs requirements, and internal processes.
- Work closely with the client manager to meet specific client requests and uphold service standards.
