Job Summary

The Events and Hire Coordinator is a vital support to the Events and Hire Manager. This role provides assistance for client relationships, scheduling, administrative management of a busy public and private events schedule, and finance (payments, invoices, contracts).

Job Description

Full time Events and Hire Coordinator. Salary £25 to £28k dependent on experience.

Main Responsibilities Specific to the Role:

1. Supporting and leading tours, meetings and show-rounds with hire and events clients and facilitators

2. To be a primary point of contact and information provision for prospective events and hire bookers

3. Assisting with financial and administrative management - including scheduling, invoicing, deposits and contracts

4. In collaboration with colleagues to provide communication and marketing materials for public events and hires for social media and print

5. Creating detailed events delivery plans and liaising with the Events Supervisors to ensure their delivery.

6. As a member of the duty rota to support the delivery of events. This includes at weekends (usually weddings etc. on Saturdays) with occasional evening working also required

7. Monitoring the use of equipment and event set up requirements. Setting up for daytime events as required (e.g. during weekdays, when there is no Events Supervisor present, as and when the operations of the House require)

8. Liaising with suppliers, contractors and clients both leading up to and following up after events

9. Maintaining and providing data on events and hire bookings and delivery through the use of spreadsheets. Providing key analytics for reports.

Job Requirements

Person Specification (Minimum Requirements)

1. Maths and English qualification equal to GCSE level 4

2. 1 years' experience working in a support role with transferable skills for this role

3. Working knowledge and experience of using MS Office and especially Excel

4. Experience in supporting the delivery of private and public events

5. Demonstrable ability to positively handle highly demanding clients

6. Proven ability of working in an organised way within a busy environment

7. Experience of creating and delivering social media and print media communications

8. An interest in arts and heritage
