Eastlake Productions is seeking a reliable and proactive Executive Assistant to support the administrative and organisational needs of its lead theatre producer. The role combines executive-level coordination and communication with practical, day-to-day support, helping maintain focus, efficiency and productivity across creative projects.

This position is ideal for someone who enjoys a mix of desk-based administration and occasional practical tasks, working in a fast-paced environment with a growing creative company focused on new performance work.

Location: Newcastle upon Tyne
Hours: 33 hours per week
Salary: £21,450 per year
Contract: PAYE employment or freelance agreement available
Start Date: Immediate start date (following a 3-month probation period)

Person Specification

  • Excellent organisational skills and strong attention to detail
  • Clear and professional written communication
  • Confident with digital tools (Google Workspace, MS Office, spreadsheets, etc.)
  • Able to manage sensitive information with discretion and professionalism
  • Comfortable with a mix of admin tasks and practical errands
  • Proactive, reliable and ab

Job Responsibilities

Key Responsibilities

  • Managing calendars, scheduling, reminders and time-sensitive priorities
  • Coordinating meetings, rehearsals, calls and travel/accommodation bookings
  • Monitoring inbox communications and drafting professional responses
  • Preparing and organising paperwork and contracts for artists, venues and freelancers
  • Maintaining digital filing systems, databases and project trackers
  • Handling practical errands (e.g. collecting materials, arranging supplies, posting documents)
  • Supporting event, rehearsal or meeting logistics where needed
  • Proactively prioritising tasks to support workload management and focus
