Job Summary

We are looking to recruit a Festival assistant/manager who can take on much of the administrative and logistical work to support the existing Festival Director. Responsible to Festival Director and Board to provide administrative and logistics support for the Festival Director.

Job Description

To provide administrative and logistics support for the Festival as overseen by the Festival Director. This is a newly created part-time role and an exciting opportunity for someone seeking to pursue a career in the arts, and to learn about all aspects of running an arts festival.

The person we are looking for must be highly literate with a proven interest or track record in working in the art and creative sector. They will be organized and efficient, with excellent administrative and people skills. The role will demand good written communication skills and a high level of attention to detail. Some knowledge of marketing is be desirable, particularly via social media. It is very much a "hands on" role rather than office based, so a flexible and adaptable character will be required.

The candidate must be prepared to work flexibly and be available over all the festival period and the week leading up to it. They will be required to work during the weekend itself and may be required to attend evening events.

Preferably they would have their own transport and a clean driving license.

REMUNERATION This is a short-term contract approx. from May until end of September 2025, reviewable subject to funding and assessed need.Working Hours: Approx 12 to 16 hrs p/w and potentially more during Festival weekend.

Candidates can choose the number of hours worked at point of recruitment and their contract and pay will be fixed at that level. Please note that some flexible working is required.

Approximately £4950 - £5500 in total for the contract, depending on number of hours to be worked, payable in monthly invoiced instalments in arrears. The hourly rate will be set at or slightly above minimum wage at the least.

Job Requirements

Essential skills and strengths

Excellent organisational skills

Excellent written and verbal communications skills

A highly motivated self-starter with proven ability to work as part of a team and strong work ethic

Ability to plan and prioritise workload to deadlines and timescales

IT competency - Word, Excel, Social Media - to creating and managing website and media content, and respond to email correspondence.

Willing to work flexible hours (including weekend work and possibly evenings)

Desirable Qualities, Skills & Strengths:

Experience of festival or events administration

Experience of working with volunteer

Marketing experience.

Job Responsibilities

Event administration - as directed, to handle all aspects of administration for the festival, including bookings and contracts with suppliers;

Handling various logistical arrangements, such as leaflet drops and distribution of posters;

Assisting the Director in responding to enquiries from creative practitioners and hosts or site managers;

Ensuring risk assessments and safety arrangements are in place;

Maintaining and updating festival contacts lists and records;

Other tasks as directed by the Festival Director or Board of Directors.
