Job Summary

The Festival Coordinator provides essential administrative and operational support across Swaledale Festival, with particular responsibility for box office management, customer services, website and database administration, event coordination and practical support during Festival delivery.

Job Description

Swaledale Festival is a much-loved annual celebration of music, arts and culture, set against the stunning backdrop of the Yorkshire Dales. Working closely with the wider team, the Festival Coordinator will help ensure a smooth and positive experience for audiences, artists, volunteers and partners.
This is a varied role requiring excellent organisation, attention to detail and a proactive approach. The successful candidate will enjoy working across different areas of Festival delivery and will be comfortable balancing administrative tasks with hands-on operational support.
The seasonal nature of Swaledale Festival means this is an annualised two-day-per-week role, with working time weighted towards the first half of the calendar year. Between January and June, the postholder will normally be required to work in the office on at least four days each week.

Job Requirements

The successful candidate will be able to demonstrate:
Experience in administration, coordination, customer service or a comparable role. Experience in events or the arts is desirable, but transferable experience is welcome.
Strong organisational skills, with the ability to manage multiple tasks, prioritise deadlines and maintain accuracy.
Excellent customer service skills and a warm, professional approach to enquiries by phone, email and in person.
Experience maintaining accurate records and databases.
Excellent IT skills, including Microsoft Office, and the ability to learn new systems.
The ability to work independently and contribute positively to a small, collaborative team.
A flexible, proactive approach and willingness to work occasional evenings, weekends and bank holidays during the Festival period.
A commitment to providing an excellent experience for audiences, artists, volunteers and partners.

Job Responsibilities

Manage day-to-day box office operations, including event setup, ticket sales, pricing, capacities, offers, bookings and ticket allocations.
Maintain accurate event information within ticketing and database systems, monitor sales and availability, and support reporting.
Provide excellent customer service by phone, email and in person, maintaining accurate customer records and supporting audience communications.
Provide administrative and operational support to the Artistic Director, Trustees and Festival team, including venue arrangements, transport, licensing, event logistics, programmes, receptions, invitations and guest lists.
Complete administrative returns, including music licensing and Gift Aid, and support merchandise and other Festival projects.
Support marketing activity, including event listings, website updates, brochure and leaflet distribution, local promotion, signage and audience communications.
Provide front-line operational support during the Festival.
