Job Summary

We are currently looking for a full-time Finance and Office Assistant to support our client and company accounting, and assist the operation of our busy office and Executive team. The role forms a vital part of the team, working closely with all staff members and clients.

Job Description

The Finance and Office Assistant is a role supporting the smooth operation of our office and accounting function. Main responsibilities of the role include (but are not limited to):

Accounting

  • Client accounting
    • Producing promoter and commission invoices for all engagements and sending as appropriate
    • Produce monthly client account statements, for a selection of clients
    • Distributing monthly client account statements
  • Company credit card reconciliation in Xero
  • Processing staff expense claims

Assistance to Directors

  • To manage and co-ordinate diaries for Directors. Scheduling internal and external meetings. Ensuring diaries are kept up to date with the arrangements
  • To plan and organise travel for Directors, including making relevant travel and accommodation bookings, visa applications. Preparing briefing folders and itineraries
  • To handle monthly credit card and foreign expenses for Directors
  • To provide administrative support as required

Office Management

  • To book meeting rooms and reviewing monthly packages
  • To purchase equipment and supplies
  • To manage the company's magazine directory and online subscriptions
  • To organise requests and purchase concert tickets

Virtual Office/ IT Support

  • To be a focal point for day-to-day IT matters, liaising with external IT consultant as necessary
  • To keep Overture and shared address book updated with new contact information and personnel changes

Flexibility

In some cases particular duties and responsibilities are difficult to define in detail and may vary from time to time without changing the general character of the duties and level of responsibilities entailed. It is a requirement of all employees that they accept elements of flexibility in their duties and when necessary interchange within the organisation which will meet the changing needs and demands of the service. Such a requirement will enable the particular expertise of the post holder to be developed to the mutual benefit of employer and employee.
