Job Summary

Exeter Northcott is seeking an enthusiastic and dynamic Finance Assistant.

Job Description

This is a new role which will support the financial and contracting functions of the organisation, and will help streamline processes in the finance department.

The Finance Assistant will be responsible for supporting the smooth running of the finance function, including payroll and monthly financial processing. They will be responsible for creating and issuing the necessary paperwork for visiting companies and artists, before and after their visit in an accurate and timely fashion.

This is a fantastic opportunity for a motivated individual to join our friendly team, and gain or build upon valuable experience in finance and administration while contributing to the success of the Northcott Theatre's programme. The Finance Assistant will work closely with the Finance Officer and our Head of Finance.

Job Requirements

Essential

  • Excellent numeracy skills
  • Excellent communication skills, both written and verbal
  • Proven professional organisational and administrative skills, with an excellent eye for detail
  • Highly proficient with using Excel
  • A good working knowledge of Microsoft Word, and the ability to work across different software platforms
  • Proven ability to work to strict deadlines
  • Proven ability to work as part of a team, and a willingness to pitch in.

Desirable

  • Experience within a finance role and/or a relevant qualification.
  • Experience using an accounting system, preferably Sage
  • An interest in live entertainment or theatre

Job Responsibilities

Finance Support

  • Issuing contracts for visiting companies and artists, chasing up outstanding information when necessary;
  • Contributing to the management of the financial settlement process for visiting productions by gathering relevant data from all departments in a timely manner;
  • Ensuring that the correct rates are used for recharges for various technical and marketing activities;
  • Gathering and compiling timesheets in readiness for payroll along with payroll administration;
  • Inputting data into the accounting system, Sage;
  • Managing and maintaining filing systems, both physical and on the company's shared drive;
  • Overseeing the management of the finance email inbox;
  • Overseeing the management and reconciliation of petty cash;
  • Preparing files and reporting data for audits;
  • Supporting the Head of Finance and Finance Officer with general departmental administration.

General

  • Maintaining a working knowledge of the theatre's programme.
  • Attending staff meetings/training as required
