As a Front Desk Administrator, you'll be part of a small, dynamic team responsible for: Supporting the music and operations teams by following security processes, managing accommodation requirements, and assisting with course preparation. Handling enquiries, bookings, and payments with excellent attention to detail. Booking practice rooms, managing membership queries, and preparing the venue for guests in collaboration with catering and housekeeping teams. Communicating pre-arrival details, managing guest feedback, and ensuring smooth day-to-day operations. This is a varied and fast-paced role that requires strong multitasking skills and a calm, professional demeanour. You will also play an important role in maintaining continuity of service and fostering positive relationships with clients, both existing and new, to encourage repeat business. Key responsibilities include: Triaging enquiries and managing resulting administrative tasks. Independently managing reception during one weekend shift. Collaborating with the management team to identify new procedures, opportunities, and areas for growth. Deliver an exceptional guest experience at every stage of the customer journey. Including independently managing Reception on weekends. Efficiently and professionally manage enquiries and bookings. Maintain continuity of service and foster positive relationships with clients, both existing and new, to encourage repeat business. Answer, record, and process all guest enquiries accurately (in person, by phone and email), or filter to the appropriate person or department. Welcome and acknowledge all visitors to the campus, deal with face-to-face enquiries from course members, tutors and the general public and/or direct them to the appropriate department. Support site security by following safety procedures and controlling access via the front desk, monitoring the visitor and contractor logbooks. Including monitoring the key stock. All other administrative duties including post, stationery upkeep, filing, photocopying, data input and restocking shop products. Process client bookings, payments and cancellations made via phone, email or in person for courses, concerts, shop purchases, bar tabs and membership subscriptions, following petty cash, cheque, BACS and PDQ procedures. Book rehearsal rooms and bed and breakfast accommodation for guests and process paperwork and payments. Provide administrative support to the Music and Operations teams where required. Support preparation course welcome materials and bed and breakfast arrival information, liaising with the Music Administrator and Hires and Sales Manager respectively. Collate and issue pre-arrival communication emails to guests and post-course online feedback forms. Maintain continuity of service and foster positive relationships with clients, both existing and new, to help encourage repeat business. Ensure that all enquiries are processed to GDPR and best practice standards. This role will require flexibility and regular evening and weekend work.
