This role is a great opportunity to develop a career in HR – which forms 80% of this role; and to hone your clerical skills as PA to the Chief Operating Officer/Chief Finance Officer in this small, friendly team in our busy cultural environment.

Job Description

We are seeking a personable, highly organised administrator to assist our HR Manager with recruitment, professional development, payroll preparation and other HR tasks; and to assist the COO with administration for the Board of Trustees and occasional PA duties.

Our successful candidate will bring proven administrative/clerical experience, ideally gained in a cultural or charitable environment, plus either some experience of HR or an enthusiasm to learn HR practice. Exceptional organisational and communication skills, along with a 'can do' attitude and a high level of attention to detail are essential for this role. Experience of minute-taking would be beneficial, as well as a GCSE in maths, plus absolute discretion and good humour.

Job Responsibilities

  • To be the first point of communication for the HR Manager and the COO, handling or forwarding enquiries as appropriate.
  • Assist with employee recruitment and development, including placing recruitment adverts, arranging interviews and feedback, processing reference requests and recruitment expenses, fulfilling template contracts, arranging inductions and training.
  • Manage the recruitment and contracting of all seasonal staff in liaison with the Visitor Services Manager and prepare their wages for payroll processing.
  • Assist with the preparation of the monthly payroll for processing.
  • Manage the volunteer recruitment strategy for both sites, in liaison with managers seeking volunteer support.
  • Conduct all employee and volunteer DBS, security and ID checks; and handle all employment requirements to maintain the Foundation's special security status.
  • Maintain HR files and record systems, and work towards digitising all employee files.
