Job Summary

We are looking for a coordinator who will play a key role in supporting the delivery of the BFI’s Inclusion strategy which form part of the BFI's wider strategic aims outlined in Screen Culture 2033.

Job Description

Main Aims:

  • Provide full and confidential administrative, secretarial and personal assistance to the Director of Inclusion.

  • Provide key project assistance on the implementation of selected strategic priorities and activity that meet the Inclusion strategy, that aligns with BFI's wider strategic aims outlined in Screen Culture 2033.

  • Support the Inclusion Manager in managing the smooth running of the Inclusion Department.

Key Responsibilities:

  • Provide full and confidential administrative, secretarial and personal assistance to the Director of Inclusion, including scheduling internal and external meetings, and capacity management.

  • Full coordination, agenda preparation and minute-taking for internal and external in person and virtual meetings, including coordinating attendances, booking and preparing rooms, fulfilling access requirements, arranging catering / refreshments and booking travel and accommodation as and when required.

  • Lead on the team's annual Records Review removing redundant, obsolete, or trivial information from shared record locations and acting as the main point of for the Head of Records & Information Management

  • Assist with internal and external communications, including the content creation for the BFI Intranet, assistance with press releases and refresh of the Inclusion team website.

  • Undertake financial administration, including placing orders, managing and processing expenses, travel costs, invoices and purchase orders as necessary on our finance system, ensuring prompt payment and liaising with management accountants as required.

Job Requirements

  • Experience of working in an administrative capacity, including inbox and diary management and minute taking.

  • Experience of devising new ways of working to improve work efficiency and productivity.

  • An awareness of the complexities and challenges of large-scale organisations.

  • An ability to manage complex stakeholder relationships with sensitivity.

  • A competent M365 user with proficiency in Word, Excel, PowerPoint, Outlook, amongst others.

  • Experience of handling tight deadlines and last-minute changes under pressure, adapting quickly and problem-solving independently.

  • An engagement with anti-racism, anti-ableism and promoting and supporting access, diversity and inclusion.
