Job Description

We are looking for a proactive and experienced Office Administrator to oversee the day-to-day running of the office at the Hellenic Centre, ensuring that administrative processes run smoothly.

The Hellenic Centre offers a rich programme of cultural events including lectures, exhibitions and concerts, promoting awareness of Hellenic culture and nurturing UK relations with the Greek-speaking world. We also run Modern Greek language courses throughout the year and hire our spaces for corporate events.

Building on our history and values after more than three decades of successful activity, we are moving into a new, exciting phase where we explore the significance, impact and connections our culture has with the contemporary world. Your varied role is pivotal within the charity.

3 days a week, in the office

Usual working hours: 09:30 - 17:30

Location: The Hellenic Centre, 16-18 Paddington Street, Marylebone, London W1U 5AS

Job Requirements

Person specification
Essential
You will have three years of proven experience at an organisation in a similar role
You will have excellent organisational and people skills
A good working knowledge of Microsoft Office 365
Fluent in English
Eligible to work in the UK

Job Responsibilities

Working in collaboration with other staff for the smooth operation of the office
Contributing to the management of the office diary
Liaising with the Director to organise meetings with Executive Board and bi-monthly meetings for all staff
Contributing to funding bids by providing accurate financial information
Ensuring the office has sufficient stationery supplies
Assisting with the development of environmental initiatives and staff compliance with sustainability policies
Processing monthly work sheets for payroll
Creating and monitoring weekly shifts
Keeping accurate records of annual leave, sick leave, extra hours
Arrange staff induction and training sessions
Liaising with the Director to organise Probation Reviews as required and annual Performance Reviews for all staff
Processing invoices and and other payments
Liaising with the company's accountant
Maintaining monitoring systems for expenses
Managing renewals of contracts
Managing petty cash
