OFFICE ADMINISTRATOR Location – Islington, London plus remote working Duration – Permanent with 6 months probation Terms - c£30 – 34k per annum FTE. Available on full or part time basis of minimum 20 hours per week over Monday to Friday. INTERVIEWS TO BE HELD W/C MONDAY 12TH JANUARY 2026

THE ORGANISATION:

Futurecity has produced over 250 cultural strategies, 20 cultural partnerships and 250 artist commissions for clients across four continents. Futurecity has championed a generation of multi-disciplinary artists who are transforming the way art is made and presented in the public realm and led the search for artists who enjoy collaboration with other disciplines, whether science, architecture, engineering, or film. Many of our projects include large scale art & architecture interventions in cities and urban centres.

THE OPPORTUNITY:

We are seeking an Office Administrator to provide an efficient and effective administrative service to the CEO and Business Director. You will be their right-hand person to support with all aspects of their roles. The position would suit a proactive and confident individual with experience in a similar industry (arts / architecture / design) with a proven track record in similar admin/PA roles. You'll be passionate about getting things done, problem solving and making sure that everything runs smoothly for the CEO and Business Director. You'll also help with the Accounts processes.

Job Requirements

YOU:

Essential

  • Significant experience in a similar role
  • Experience in arts / architecture / design environment
  • Skilled with Microsoft Office including PowerPoint
  • Basic knowledge of invoicing
  • Have an excellent command of the English Language (both written and verbal)
  • Excellent attention to detail
  • Proven organisational and communication skills with the ability to multi-task and prioritise accordingly based on management objectives
  • Able to work under pressure
  • Have confidence and will seek out solutions to any issues

Desirable

  • Skilled in the Adobe creative suite i.e., InDesign, Illustrator etc
  • Middle East experience on comparable projects

Job Responsibilities

TASKS:

  • Organise and maintain CEO and Business Director's diaries and manage appointments
  • Arrange travel, visas and accommodation and produce itineraries for upcoming trips
  • Arrange meetings, talks and events
  • Take notes at meetings or provide general assistance during presentations
  • Meet and greet visitors at all levels of seniority providing refreshments where appropriate
  • Screen phone calls, enquiries and requests by email and post, and handle them when appropriate
  • Organise events including arranging catering, presentation equipment, invitations etc
  • Implement and refine office procedures to optimize efficiency
  • Manage stationery orders for the office
  • Manage storage unit contract and all associated storage unit issues including access and disposal of confidential waste
  • Manage and update client portals, ensuring accuracy and compliance
  • Process weekly invoices for payment
  • Process expenses for the whole team
  • Handle other accounts tasks as directed by the Business Director
