About arebyte Initiated in 2013, arebyte pioneers new forms of engagement with creative technology, critically examining its impact in contemporary society through our London gallery and online programme, known for pushing the boundaries of new media art. In addition to our art programme, arebyte collaborates with private landlords, developers, and local authorities to support London's art and creative business community by offering affordable workspaces. Through joint placemaking efforts, we sustain a vibrant community of 300 artists, makers, and designers in London with creative studios/offices and co-working environments. The Role Key responsibilities include issuing invoices, generating bills, processing payments, and maintaining financial records in Xero, as well as handling tenancy agreements, tenant communications, and managing departures. The Office Manager will also update listings on the Arebyte website and other platforms to promote available spaces and ensure visibility with potential tenants. The ideal candidate will be highly organised, with a strong attention to detail, and experience in managing sensitive financial and tenancy data. Excellent time management and a proactive, problem-solving mindset are key, along with a passion for supporting the creative sector and ensuring a positive tenant experience. Occupation Rate / Working Hours 2.5 days/week. Possibility to discuss 3 days/week. Flexible working hours evenly spread across 5 days, possibility of arranging hours across 3-4 days. Job Responsibilities
Generate and manage rent, utility invoices, and bills in Xero. Follow up on overdue payments, coordinate payment plans, and ensure accurate payment processing.
Lettings & Tenancies:
Administer tenancy documents, ensuring timely execution of leases and agreements. Manage tenant departures, including deposit returns and compliance with agreements.
Database Management:
Maintain accurate records of leases, tenant details, and contact information for data integrity and compliance.
Tenant Communications:
Act as the main contact for tenant inquiries and coordinate with site managers for viewings and inductions.
Vacant Space Management:
List available spaces on platforms like Squarespace and Gumtree. Manage inquiries, applications, and waiting lists, keeping prospective tenants updated.Useful Links
