Convelio is a licensed freight forwarding company evolving at the intersection of Tech, Logistics and the Art World. We specialise in the global shipping & storage of high-end goods.

Your Role:

As an Operations Admin at Convelio, you'll be at the heart of our logistics and customer operations, making sure shipments run smoothly and clients feel supported at every step.

We are a global art shipping company, specialized in transporting not only artworks but also design pieces, furniture, and antiques - ensuring these valuable objects reach their destination safely and on time.

In this role, you'll provide essential administrative and operational support, help resolve routine issues, and collaborate closely with multiple teams to deliver a seamless customer experience.

This position also offers a clear path for growth, with opportunities to progress toward roles such as Customer Care Coordinator or Freight Coordinator as you build expertise in client operations and logistics.

This job is based in our West Drayton office 5 days per week, Monday to Friday, 9am-5:30pm.

Job Requirements

Your profile:

- You have had a first experience in a job with contact with premium customers. Experience in a start-up environment is a plus

- You are fluent in English, you have excellent written and verbal communication skills

- You are positive, curious, self-motivated and hands-on

- You are an excellent learner and have the desire to adapt to new concepts and technologies

- You have great analytical skills and are comfortable working with numbers (you'll need to be to handle quotes for our customers!)

- You are detail-oriented, you have strong organizational skills and are disciplined in daily activity planning (ability to manage tightly, over time, a large quantity of information)

- You are OK with multi-tasking and can synthesize multiple perspectives to get the most important thing done

- You enjoy working in a challenging, fast-paced, target-driven and team-oriented environment

Job Responsibilities

What you'll do:

- Support order management and shipments: Assist with basic administrative tasks related to orders, coordinate simple shipments, and proactively keep customers informed of their shipment status.

- Contribute to pricing and quoting: Help the customer care team by preparing simple shipment quotes, using our pricing algorithm, and requesting quotes from suppliers when needed.

- Ensure smooth operations: Follow Convelio's incident management processes, promptly flagging potential issues and resolving routine (L1) incidents independently.

- Be the first line of contact: Take Aircall shifts to answer incoming calls from clients or suppliers, ensuring issues are acknowledged even if outside your direct expertise.

- Collaborate across teams: Work closely with logistics, customer service, operations, and technicians (packers & drivers) to coordinate shipments and prevent issues.

- Drive continuous improvement: Actively suggest and support enhancements to our operational proce
