The Operations Officer (Data, HR and Finance) oversees Collective’s financial and human resources administration, acts as Data Protection Officer, and supports governance as Secretary to the Board, ensuring robust systems, compliance and smooth organisational operations.

Job Description

The Operations Officer (Data, Human Resources and Finance) plays a central role in ensuring the smooth and compliant running of Collective. Working across the organisation, the postholder oversees financial administration, human resources processes, data management and regulatory compliance, while also acting as Secretary to the Board and Data Protection Officer.

The role is responsible for day-to-day financial operations, including bookkeeping, invoicing, cashflow management, budget tracking and preparation for audit, using Xero accounting software. The postholder supports senior staff with clear financial reporting and leads on monthly finance meetings, providing an accurate overview of organisational finances.

Alongside this, the role manages HR administration, including issuing contracts, maintaining staff and student records, checking right-to-work documentation, and supporting policy review and compliance. The postholder leads on the collation and secure management of staff and student data and ensures adherence to data protection legislation.

As Secretary to the Board, the role coordinates board and committee meetings, circulates papers, and records minutes. The postholder also undertakes regulatory reporting duties, including submissions to the Office for Students, and acts as a key point of contact for Student Finance England.

This role requires strong organisational skills, attention to detail, discretion and a collaborative approach, as well as a commitment to Collective's mission to widen access and promote equality, diversity and inclusion within the performing arts.

Salary: £36,000 per annum, pro rata (£28,800 at 0.8 FTE)
Working pattern: Most likely Monday to Thursday, with hours agreed within 9.00-21.00 (and occasional Friday or Saturday working by agreement).

Interviews will be conducted in-person on Friday, 20 February during the day.

Preferred start date: Early to mid March 2026.

Job Requirements

  • Experience in administration, finance, HR or a related operational role

  • Strong numeracy and confidence working with financial data and systems

  • Excellent organisational and time-management skills, with the ability to prioritise and meet deadlines

  • High level of accuracy and attention to detail

  • Confident written and verbal communication skills

  • Ability to work independently, use initiative and handle sensitive information with discretion

  • Competence with digital systems and willingness to learn new software (e.g. Xero)

  • Interest in the performing arts and/or arts education

  • Empathy with Collective's mission and values, particularly equality, diversity and inclusion

Job Responsibilities

  • Oversee day-to-day financial administration, including invoicing, payments, reconciliation and cashflow management

  • Support bookkeeping, management accounts and annual audit processes using Xero

  • Manage HR administration, including issuing contracts, right-to-work checks and maintaining staff records

  • Act as Data Protection Officer, leading on data collection, storage and compliance

  • Coordinate Board and internal meetings, including agendas, papers and minutes

  • Maintain accurate records, policies and organisational documentation

  • Liaise with external service providers and ensure value for money

  • Support regulatory compliance, including returns to the Office for Students

  • Act as first point of contact for Student Finance England

  • Deputise for the Operations Officer (Facilities) when required
