PA to Artist and Operations Assistant for a busy internationally renowned Artist studio.

Job Description

Essential
Strong administration, communication and IT skills
Knowledge and interest in contemporary art
Ability to work on their own initiative and to multiple deadlines
Ability to work both as part of a team and independently

Desirable
Minimum two years background working within a busy arts organisation
Experience in buildings operations management
Knowledge of Microsoft 365, digital media, website management
Knowledge of accessibility requirements

Support duties to the Artist
- General PA duties, managing studio diary, personal correspondence, booking appointments, cabs, making reservations
- Ensuring accessibility to events the artist is attending
- Preparing presentation material, slideshows, files research material needed for the talks or interviews
- Liaise with press for interview requests and archive once complete
- Organising and overseeing maintenance and building works at the artist's home

General duties

- Answering the telephone and front door, greeting visitors to the studio including but not limited to larger studio visits and events
- Overseeing operations and general maintenance of the studio building throughout the annual cycle
- Overseeing maintenance of computers, external server, communication services - incl. installing and setting up software and hardware, maintaining domain names and studio email addresses
- Assisting the studio Director with studio accounts every month
- Stocking supplies for the studio incl. cleaning products, food, office supplies
- Coordinating studio travel, booking flights, accommodation, Visa's, vaccinations and insurance. Checking accessibility for the artist and compiling a detailed travel itinerary

Other Responsibilities
- Maintain Artists CV, bio, bibliography and exhibition schedule
- Maintain the image archive and distributing images when requested, liaising with DACS
- Update the website, digital comms and social media
- Maintaining the studio book and press archive
- Proofing and editing as required
