Job Description

The role of Programme Assistant sits across a number of teams at Pitzhanger, supporting on all aspects of our programme, from exhibitions and public events to communications and working with funders. This is a new role for Pitzhanger, and an opportunity for an enthusiastic individual to gain hands-on experience in a wide range of museum and heritage work. This will be a fast-paced, varied role, requiring a flexible approach and attention to detail.

The Programme Assistant provides vital day-to-day administrative coordination supporting the delivery of our programmes, with a focus on adult public programme (talks and events), supporting fundraising and development, as well as marketing, communications, and other administration and programme support as needed. This is a perfect opportunity for someone seeking to develop their skills in a museum and heritage setting, across communications, public engagement and administration. The work is extremely varied and a working week could involve supporting with the delivery of events, responding to external enquiries and liaising with practitioners and speakers, preparing for an exhibition launch, supporting work experience students, collating data and insights, posting on social media or drafting a report.

The ideal candidate will offer outstanding support to a busy team, with a creative, flexible and people-centred approach, and a willingness to learn. You will be prepared to work on your own initiative, as well as with colleagues. Close attention to detail and a high level of accuracy are essential along with effective organisational and time management abilities.

It is anticipated that in this role you will need you to be based mainly on site, however we are open to discussing options and will support hybrid working where practically possible.

Job Requirements

PERSON SPECIFICATION

Essential

  • Demonstrable interest in the galleries and museums sector.

  • Strong organisational and administrative skills.

  • Excellent verbal and written communication skills, with the ability to tailor communications for a range of audiences.

  • Confidence and professionalism in dealing with senior staff, trustees and external stakeholders.

  • A commitment to equality, diversity, and inclusion.

  • A 'can do' spirit, flexible in approach with a positive attitude to change.

  • Ability to work effectively as a member of a small team and with a collaborative approach to achieving organisational goals.

  • High level of IT and data literacy.

Desirable

  • Knowledge of art, architecture and design.

  • Experience of working or volunteering in a gallery and/or museum environment.

  • Understanding of fundraising.

  • Understanding of reporting and analysis

  • Familiarity with CRM database systems

Job Responsibilities

  • Provide support to the Head of Programmes in the delivery of adult public programme, as well as other programme areas such as exhibitions and displays, as needed.

  • Be the day-to-day point of contact for collaborators and partners on the public programme.

  • Be responsible for accurate data capture around the adult public programme, and for sharing this data throughout the organisation when required.

  • Provide support to the Head of Development across all strands of fundraising, including Individual Giving, Trusts and Foundations, and Corporates.

  • Work closely with the Membership Officer to keep records in the CRM system accurate and up to date.

  • Support the growth of the Patrons programme, including delivering events and building relationships with Patrons.

  • Work with colleagues across the organisation on reporting requirements for funded activity.

  • Provide support to the Marketing and Communications Manager across all communications
