We have an exciting opportunity for a Programme Coordinator to join the dedicated and dynamic team delivering Project Tullie, the Museum's major capital development programme. This fixed-term maternity cover post will lead on the monitoring and reporting against the project programme and finances.

Working in close collaboration with colleagues across the Museum, as well as designers, contractors, funders and external partners, this is a great moment to play a pivotal role in the delivery of this transformational project for Carlisle and Cumbria.

Purpose of the Role

  • To drive the development and delivery of Project Tullie through a range of duties including effective coordination of project workload, procurement of expert advisers and financial monitoring and reporting, working independently on assigned work as well as supporting the work of the Head of Strategy and Capital Programme (HSCP) and the wider project team.

Job Requirements

OVERALL PURPOSE

To coordinate the development and delivery of the multi-phased Capital Programme, Project Tullie, working independently on assigned work as well as supporting the work of the HSCP and the wider project team. To lead the monitoring and processing of financial information and invoices within the project budget.

To produce and coordinate project management documentation, including funder and partner reporting, ensuring accuracy of data and financial information.

To proactively support the overall strategic development of Project Tullie by working collaboratively and cross-departmentally on all areas relating to the project including fundraising, advocacy and communications.

Provide high-level administrative support as part of the Project Team.

Job Responsibilities

KEY AREAS OF RESPONSIBILITIES

1. Monitor and maintain accurate financial activity for Project Tullie, ensuring budgets, cashflows, and resource schedules are followed, documented, and updated where required. Place purchase orders on the Sage financial system, process invoices to the finance team and reconcile income and expenditure.

2. Coordinate reporting to funders to secure grant drawdowns. Support the HSCP through effective coordination of the workload to meet reporting requirements and deadlines. Compile accurate information to communicate project progress and monitoring of outputs and financial data. Ensure an understanding of funder requirements and deadlines across the team.

3. Undertake financial claims including working closely with the HSCP and working alongside the Head of Finance & People for cashflow forecasting.

4. Coordinate the programme and all project workstreams, applying and developing project management systems, monitoring and proactively resolving.
