It could not be a more exciting time to join the V&A. As well as the opening of two new sites in East London, we have big plans to develop our galleries and other public spaces in our iconic historic buildings. We are now looking for a Project Coordinator to join our team, to support delivery of the next phase of works. The role will have a focus on the major transformation of one of our most popular galleries in South Kensington but will work with the Projects team across the full portfolio.

Job Requirements

Experience of capital project work, with excellent understanding of project management and the ability to co-ordinate many complex tasks within tight timescales, whilst attending to complex detail.

A good understanding of buildings' projects, with experience of the activities and processes involved as well as working with contractors and an external professional team. Ability to work across a large number of disciplines within a multi functional division, taking account of the different needs of stakeholders across the institution.

Ability to build effective relationships with a wide range of stakeholders, both within the Museum (not only the immediate Project Team, but across many other Departments) as well as external consultant team members. Persuasion, influencing, negotiating and conflict resolution skills are required to secure ongoing commitment.

A practical understanding of health & safety within requirements in a building project, such as CDM regulations.

Job Responsibilities

Manage the day-to-day liaison with the Project Manager and external consultants as required ensuring appropriate flow of client instruction.

Assist the Project Manager with day-to-day finance activities, such as updating reporting, tracking invoices, creating and issuing PO's and updating budgets. Assist with the month end process.

Coordinate project workstreams, ensuring accurate record keeping, contribution to reporting systems and efficient processes.

Effectively manage and control change with attention towards programme and budget and in consultation with senior members of the Project Team.

Maintain project files and associated documentation, to ensure all information is up to date and easily accessible, ensuring compliance across sites and workstreams.

Effectively communicate with project stakeholders, helping to secure their support and contributions to the project; organise and coordinate the project ensuring that the wider museum is kept well informed of FuturePlan
