We are looking for an Office Manager with a variety of experience, a great skill set and a warm personality to join the small team at the Royal Birmingham Society of Arts.

Job Description

This is a new role at the RBSA, and we are looking for a two-day site-based Office Manager. The role will involve a wide variety of tasks that will range in timescale, skill and frequency.

Job Requirements

Role requirements:

  • Two days a week, 9am - 5.15pm (Potential opportunity to extend to a third day)
  • Strong organizational and office management skills with an ability to work independently and prioritize tasks
  • Strong clerical skills with attention to detail and accuracy
  • Excellent communication and interpersonal skills
  • Extensive experience of office administration
  • Good experience of dealing with financial admin/transactions, and a good command of Sage Line 50
  • HR experience
  • Knowledge of changes in employment law
  • Reliability and discretion with confidential matters
  • An ability to 'make things happen'
  • Exceptional phone etiquette and communication skills, both written and verbal
  • Proficiency in Microsoft Office Suite

This is a new role at the RBSA, and we are initially looking for a two-day gallery -based Office Manager, but there may be an opportunity to extend to three days, should the role require greater hours in the future.

Job Responsibilities

Key responsibilities will include:

  • Overseeing the office and gallery operations in terms of procedures, repairs, utilities, and health and safety
  • Keeping policies up to date with changes in employment law and ensuring compliance
  • Financial administration including direct debits, invoices, receipts, adding sales transactions to Sage 50, administration of daily ledgers and artist payments
  • Overseeing the Society's subscriptions
  • Maintaining records on staff hours/annual leave/absence.
  • Ensuring supplies are stocked and equipment is maintained
  • Other office duties which will be dependent upon the requirements of the charity at any given time
