Job Summary

The Poetry Society is seeking an enthusiastic and organised person to cover maternity leave for this administrative post in the publications department. Working 1 day per week (7 hrs) you will support the Editor of leading journal, The Poetry Review.

Job Description

Post Objective

  • To assist in the collation and production of The Poetry Review and liaise with the Publishing Manager and Editor regarding administrative or editorial tasks.
  • To support publishing processes from inception to delivery of each quarterly issue, including passing on proofs to contributors and drafting relevant contracts.
  • To efficiently manage our submissions process in a timely fashion.

Job Requirements

The person appointed must demonstrate the following personal attributes, skills and experience:

Person Specification

  • Strong communication and writing skills with high attention to detail
  • Excellent organisational, coordination and planning skills with the ability to prioritise workload and deliver to deadlines

Essential skills

  • Knowledge of publication processes, ideally gained through experience working on print or digital journals/magazines
  • Proven experience using MS 365 and online platforms such as Zoom
  • A good working knowledge of contemporary poetry

Desirable Skills

  • Experience with databases and/or submission platforms such as Submittable
  • Experience with publishing contracts and/or knowledge of copyright
  • Experience with WordPress or similar web content management systems
  • Strong digital skills set

Job Responsibilities

Main Duties

  • To assist in producing (working with the magazine's Editor and the Publishing Manager) quarterly editions of The Poetry Review, one of the world's most influential poetry magazines.
  • Liaise with the Publisher and Editor regarding any administrative or editorial tasks that need to be completed each quarter.
  • Working within established print schedules and monitoring content deadlines for contributors.
  • Support publishing processes from inception to delivery of each issue of the Poetry Review, including passing on proofs to contributors and drafting relevant contracts.
  • To oversee the addition of content from The Poetry Review to poetrysociety.org.uk and other associated websites.
  • Assisting in collating essential data collection for key funders including Arts Council England.
  • Respond to rejections on Submittable and advise the Editor with submissions when appropriate.
  • Process and respond to physical poetry submissions and pass on any relevant submissions to the Editor.
