Job Summary

We are searching for someone who is excited by managing volunteers, especially museum volunteers in the City of Milton Keynes. The Volunteer Officer recruits, organises and supports the volunteers ensuring that the Museum can continue to grow and develop.

Our Museum was started by local people and volunteers continue to be at its heart. They play every role that they can to keep the Museum running. They work in Reception, in interpreting the galleries and in catering. They help maintain the grounds and buildings, they work with schools and on the Collection. .

We are seeking to recruit an enthusiastic and organised person with a strong background in working with people and motivating them to work together to achieve agreed aims.

This role will require an understanding of the unique role that volunteers play at Milton Keynes Museum and a well-developed ability to engage, motivate and manage this key group of people. It needs leadership.

The Volunteer Officer will:

  • Review the volunteer workforce, identifying priorities for recruitment and development.
  • Implement a strategy to meet the priorities identified in the above review.
  • oversee a relevant induction and training programme and provide ongoing development and support.
  • Ensure that the work of volunteers meets the changing needs of the Museum as well as the individual needs of volunteers.
  • Work with the other Members of Staff and Team Leaders to ensure the smooth running of every area of the Museum.

The role requires flexibility, spreading the 37.5 hours working across weekdays, evenings and weekends to ensure all volunteers are supported.

Job Requirements

Knowledge, Experience and Skills

Essential

Experience of working in a visitor focused organisation.

Experience of working with a range of volunteers, each with their own needs.

Excellent team working, and organisational skills.

Energetic self-starter with a strong work ethic.

Administrative experience with a high level of computer literacy.

Effective written and verbal communication skills.

Desirable

Evidence of experience of developing and delivering training and events, including partnership working.

Evidence of success in recruiting and supporting volunteers.

Previous experience of working with volunteers in a museum or heritage

environment.

Knowledge of wider context of volunteering and best practice, including relevant legislation.

Knowledge of fron-of-house and visitor experience training.

Experience of working with schedules and rotas.

Experience of working on youth volunteering, ethnic minority community groups and work placement

Job Responsibilities

  1. Assess the needs of each area of work/team and prepare a volunteer recruitment plan.
  2. Implement the plan to ensure the operational needs of the Museum are met by the various teams;
  3. Ensure that a support network is in place.
  4. Recruit volunteers to meet the identified needs.
  5. Devise a system of volunteer rotas, ensuring that they are maintained. Keep an up-to-date record of volunteer roles and vacancies.
  6. Maintain an up to date volunteer database and other records.
  7. Develop and manage regular communication channels.
  8. Oversee the delivery of a volunteer training programme.
  9. Be responsible for volunteer processes, policies and procedures.
  10. Undertake any other relevant duties as required by the Museum Director.
