Job Summary

Imperial College London’s Public and Community Engagement team is looking to contract a freelance Event Coordinator to help programme and deliver the Imperial Lates 2026/27 season—a creative series of after-hours evenings of scientific exploration for adult audiences.

Job Description

The Imperial Lates are social, themed evenings where visitors explore the latest research at Imperial through interactive unique experiences. These evening events are aimed at young adult audiences (18-35), attracting around 750 visitors per event, many new to Imperial. This contract is ideal for a freelancer who combines creative programming skills with strong, large-scale event production experience, as well as excellent project management and communication skills.

Working with the Public Engagement Programmes Coordinator & Adult Programming Lead, you will help curate and produce three Imperial Lates events (October, November and January). You'll contribute to creating engaging experiences that inspire the public about cutting-edge science, while also leading on elements of delivery. The role builds in responsibility over time, culminating in leading the full delivery of the January 2027 Lates event.

Contract details
Freelance, part-time: approx. 3 days per week
Duration: Mid-August 2026 - end of January 2027
Day rate: ÂŁ250
Location: Mostly remote, with some South Kensington campus work (attendance required for all event days as well as set-up and pack-down days)

Job Requirements

Experience of the creative curation of events for a general public audience in response to a scientific theme

Experience of leading the production and operational planning of large-scale public events - ordering equipment, planning floorplans, managing budgets, contracting freelancers, briefing staff and volunteers and security teams

Experience of working in collaboration with researchers, academics or subject experts to create engaging activities for a range of audiences. Experience of supporting researchers of varied levels of experience in public engagement.

Experience in budget management

Ability to interact confidently and build relationships with a wide range of stakeholders, researchers and professional services staff

Experience of time and project management

Friendly and approachable demeanour and able to engage with others positively

Good written and verbal communication skills

Job Responsibilities

Creative programming

Curate exhibits, workshops, talks and interactive activities
Collaborate with Imperial researchers to develop engaging public experiences
Facilitate partnerships between scientists and artists
Help programme panel discussions and themed content on current issues

Coordination and delivery

Identify and recruit research teams to take part
Support teams to refine ideas for public audiences
Manage relationships and keep contributors on track

Event production

Coordinate equipment and technical requirements
Draft floorplans and managing layouts
Manage budgets
Coordinate staffing and volunteers
Oversee health and safety processes
Deliver event set-up, live delivery and pack-down
